Constitutional Committee of the Academy

 

Mandate

The mandate of the Committee is twofold:

  • To develop the scientific program for the Annual Meeting
  • To represent the research interests of members of the Academy
     

Chair

Appointed by the Board of Directors.

Usually this would be a person who has been a previous member of the Committee.

 

Reports to

Board of Directors.

 

Number and Nature of Members

The Chair has the responsibility for the number of members and the process of joining the Committee.

The RSPC is comprised of those members of the Academy who are interested in participating in the activities of the Committee.

Early each year, it is necessary for the Chair to confirm which members of the Committee wish to continue on the Committee and which members of the Academy wish to join the Committee.

 

Number and Type of Meetings Per Year

No formal full meetings of the Committee are held during the year. Much of the work is done by e-mail with additional use of telephone, fax and post.

 

Length of Time for Appointments and Number of Terms

The term of a member is 5 years, once renewable and this may be extended for a member who becomes Vice Chair (3 year term) and Chair (3 year term).

 

List of Past Products

The main product of the work of the Committee is the scientific program of the Annual General Meeting.

Each year two reports of the activities of the Committee are given to the Board of Directors coinciding with the two meetings of the Board each year.

 

Regular Required Functions

The RSPC must work closely with the Conference Committee to develop the Scientific Program for the Annual Meeting.

Each year, at the Annual Meeting, the Chairs of the RSPC and the Conference Committee must meet and clarify their roles and responsibilities for a successful working relationship. This may vary according to venue and type of meeting (i.e. joint meeting with the American Academy of Child and Adolescent Psychiatry (AACAP) or Canadian Psychiatric Association, etc.). It is recommended that the working relationship of the RSPC and the Conference Committee be supported by having a member of each Committee who is able to attend meetings of the other Committee. In addition, minutes and communications (much of the work and records is done by e-mail) should go to each Chair.

Close communication with the Executive Director is also important.

Development of the research agenda depends on the interests of the Committee members and Chair. It may include facilitation of networks, publication of projects, areas of interest and arrangement of special research sessions at the Annual Meeting amongst others.

 

Specific tasks, which fall to the Chair, include:

  • Final development of the program including contact with speakers.
  • Preparation of initial notice of the program in collaboration with the LAC (usually sent 6-8 months in advance)
  • Communication of information about program details to the LAC and Administrator for purposes of development of program to be mailed out to members and for reservation of rooms for meeting
  • Preparation of invitation for submission forms to be mailed out at least six months in advance.
  • Review of submissions with Committee and selection of presenters. This process has to be completed at least two months before the meeting
  • Communication to successful presenters. Guidelines for the Dalhousie and Resident Prizes are maintained by the Awards Committee.
  • Collection of goals and objectives from presenters for purposes of Royal College accreditation. In collaboration with the LAC, the program, along with goals and objectives and list of RSPC members must go to the Psychiatric assessor for the Royal College or a suitable alternative. Contact at the Royal College is the administrative person responsible for Maintenance of Certification Program.
  • Review of submitted manuscripts for awarding of the Dalhousie and Resident prizes
  • Compilation of list of posters for Annual Meeting.
  • Advising the LAC regarding the audiovisual needs of presenters. Committee program manager may also need to advise poster presenters regarding layout, size of boards, Velcro or pins.
  • May arrange for publication of abstracts in CACP Review.
  • Submission of semi-annual report to meeting of Board in February and at Annual Meeting.

Tasks of Committee Members

  • Participate in the RSP Committee meeting that takes place during the Annual Meeting
  • Participate in reviewing abstract submissions for the Annual Meeting
  • Participate in judging presentations at the Annual Meeting for the purpose of awarding prizes
  • Respond to email and other communications regarding the ongoing work of the Committee throughout the year

 

 

Present On-Going Tasks

There are no specific tasks presently in process in the Committee beyond the regular functions of the Committee.

 

 

Relationship to Members of the Academy

This Committee is responsible for organizing one of the key benefits of joining the Academy - the Annual meeting: ongoing education for the improvement of the practice of child and adolescent psychiatry. This benefit comes with a certificate stating the number of hours and types of credit the member may claim with the Royal College Accreditation Program for Maintenance of Competence.

In addition, the Annual meeting brings the ancillary social benefits of meetings, communications and greetings across Canada for members of the Academy.

Miscellaneous

When the Annual Meeting is a joint meeting, especially with the AACAP, the Chair and two members of the Canadian Academy join the Scientific Program Committee of the AACAP and participate as equal members. The AACAP has, in the past, been very careful to ensure that Canadian submissions are treated fairly. When the joint meeting is on Canadian soil the responsibilities of the Conference Committee are more significant and collaboration necessarily more intense.

At the Annual General Meeting the Chair of the RSPC has a room reserved and paid for by the Canadian Academy of Child and Adolescent Psychiatry.
